At Solasta Studio, we’re committed to creating a safe, supportive, and inclusive environment for all students and families. The policies below are here to ensure everyone feels confident, informed, and respected.

If your child is feeling unwell, we kindly ask that they stay home until they’re feeling better — especially if they have a fever, are vomiting, or have any contagious symptoms.
If a student becomes unwell or injured during a class, we’ll contact a parent or carer right away using the details provided at enrolment. In the case of a more serious injury, appropriate first aid will be administered by a staff member, and emergency services will be called if needed.
When an incident occurs, an incident report will be completed and kept on file, and families will be informed of what happened.
Please ensure all medical details and emergency contacts are up to date so we can act quickly if needed.

At Solasta, we’re all about creating a space where every student feels safe, supported, and free to express themselves. We ask that students treat each other — and their teachers — with kindness, respect, and care.
Bullying, teasing, or judgment of any kind is not accepted. Everyone deserves to feel comfortable being themselves in our classes, and we’re committed to maintaining a welcoming, inclusive environment.
We encourage effort, teamwork, and positive attitudes over perfection. If behavioural challenges do come up, we’ll always handle them with care and communicate openly with families to find the best way forward.

To help classes run smoothly and safely, we ask that families arrive on time for both drop-off and pick-up. Please ensure your child is signed in and collected promptly at the end of class.
If someone other than a parent or regular carer will be collecting your child, please let us know in advance. We may ask for ID if we haven’t met them before.
Please ensure your child knows whether they are to wait upstairs for collection or meet you downstairs after class.
Parents are welcome to stay and observe classes, particularly during trial sessions or when students are settling in. However, some children focus better without a parent present — we’ll always work with you to find what suits your child best.
If your child is an older student who is permitted to walk home independently, please let us know if there are any restrictions. Otherwise, we will assume they have your permission unless advised otherwise.

A free trial class is available for new students so they can experience Solasta before committing. If the student enrols for the term, the trial class will be counted as the first class of the term and included in the term fees. If they choose not to continue, no payment will be required.
Enrolment is confirmed once your booking form has been submitted and a place in the class or program has been allocated. Fees are charged per term (or per program), and invoices are sent out within the first three weeks of term. All invoices are issued with a 14-day payment window.
Fees are non-refundable, except in exceptional circumstances. If you’re unable to attend a class, we’re unable to offer refunds or make-up sessions.
In the event that a class is cancelled due to staff being away, a credit will be applied to your account.Classes will run on public holidays unless stated otherwise.
Payment plans are available — just reach out if you need support, we’re always happy to work with families.

Consistent attendance helps students feel confident, connected, and ready to participate fully in class activities. While we understand that things come up, we kindly ask that families make every effort to attend each week.
If your child is going to be away, please let us know with a quick message — it helps us plan and support the group.
Classes will run on public holidays unless we’ve communicated otherwise.

As part of classes, workshops, and performances at Solasta Studio, we occasionally take photos or short videos for use in promotional materials, including on our website and social media. These are always used thoughtfully and in a way that celebrates our students’ achievements.
By enrolling at Solasta, you acknowledge and accept that your child’s image or video may be used for these purposes unless you notify us otherwise. If you prefer your child not be included in any photography or media, just let us know — we’ll always respect your choice.

We recommend that all items brought to class — including drink bottles, bags, and clothing — are clearly labelled.
Lost property will be held at the studio until the end of each term. After that, any unclaimed items may be donated or discarded.
While students are welcome to bring personal items, we encourage families to consider what’s truly needed for class, and note that Solasta Studio takes no responsibility for lost or damaged belongings.

We aim to keep communication clear, open, and respectful. All important updates — including class changes, reminders, and announcements — will be sent via email by default.
If you prefer to be contacted a different way (such as by text), just let us know and we’ll do our best to accommodate.
You’re always welcome to get in touch via email, text, or social media. We’ll do our best to respond within 1–2 business days.
Please note: Some messages may be sent outside of standard work hours due to class times or scheduling needs — there’s absolutely no pressure to respond straight away.

We love giving students the chance to share what they’ve been working on. While we encourage participation in performances and events, it’s never compulsory — every student is different, and we respect that.
Families will be informed well in advance of any upcoming events, and we’ll always aim to make performances as low-pressure and enjoyable as possible.
Costumes are generally supplied, though families may occasionally be asked to provide simple additions (like shoes, plain base layers, or accessories). Any required items will be communicated clearly and kept affordable wherever possible.

At Solasta Studio, we’re always looking to grow and improve. If you have any feedback, questions, or concerns, we encourage you to reach out directly — we’re always happy to have a conversation.
Whether it’s a small question or something more serious, we aim to respond thoughtfully and respectfully. Open, two-way communication helps us create a space that supports every student and family.

Please arrive no more than 10 minutes before your party start time. All parties must finish within the booked time so we can reset the space, pack up, and keep everything running smoothly behind the scenes.

You’re welcome to bring your own cake and snacks! If you'd like to include time for food, please let us know when booking so we can plan it into your session. All food, singing, and celebrations must be wrapped up by the end of your allocated party time.
Please note: We are not responsible for managing or checking any dietary requirements or allergies — if you're bringing food, we recommend letting guests know what's being served. -
Our parties are mostly designed for up to 12 children. If you're expecting more, please get in touch — we may be able to accommodate with a small additional fee depending on the party type.

Parents are welcome to drop off and return at pickup time — no need to stay unless you’d like to! All children must be signed in at the start of the party, and if no adult is staying, we’ll just need a contact number in case we need to reach you during the session.

A 50% deposit is required to secure your booking. Cancellations made more than 7 days in advance are fully refundable. Within 7 days, your deposit is non-refundable, but we’ll do our best to reschedule if needed.

All activities are designed to be safe, age-appropriate, and fully supervised. However, participation is at your own risk, and Solasta Studio is not liable for any accidental injuries that may occur during the party. If your child has any specific needs or limitations, please let us know when booking so we can make adjustments where possible.
